ERASMUS+ SMS International

In the current programme generation, Erasmus+ allows the funding of non-European semester stays for study purposes under certain conditions (Erasmus+ SMS International).

If an Erasmus Inter-Institutional Agreement (IIA) has been concluded with a partner university of the University of Bayreuth and sufficient funding is available, partial Erasmus funding can be paid out for stays at these universities.

This funding is currently only available for study visits to these universities:

  • Canada – Université Laval
  • Canada – University of Regina
  • Jordan – German Jordanian University
  • South Afrika – University of Pretoria
  • USA – Temple University
  • United Kingdom – University of Birmingham
  • United Kingdom – University of Hull
  • United Kingdom – Northumbria University
  • Vietnam – Phenikaa University

Study visits to other universities or other types of stay (e.g. summer school / internship) can not be supported by Erasmus+ SMS International.

Important: Students who receive funding from Erasmus+ SMS International may not apply for the PROMOS partial scholarship. These funding programmes cannot be combined.

Based on the funding framework conditions within Europe, the following points must be observed:

Requirements for fundingHide

To be eligible for funding, the stay must fulfil the following conditions:

  • take place at a UBT partner university with an Erasmus+ contract (IIA),
  • must not take place in the country of origin,
  • be linked to the acquisition (not recognition) of at least 20 ECTS points at the host university and
  • be completed during the enrolment phase at the University of Bayreuth.
Funding rates for mobilityHide

The financial support for Erasmus+ semester stays is based on the different costs of living in the destination countries as well as the social background of the students and means of transport.

Country rates
The following funding rates apply in the current 2024 funding project:

  • United Kingdom: 600 EUR / month
  • Other partner countries: 700 EUR / month

Please note that each month is calculated as 30 days in the Erasmus programme. The daily funding amount therefore corresponds to 1/30 of the monthly funding rate.

Travel allowance
In addition, students receive a travel allowance, which depends on the travel distance from Bayreuth to the host university and the means of transport used (see funding opportunities for sustainable travel), as well as travel days funded as required.

Additional travel days
Participants who need more time to travel due to the use of sustainable modes of transport can receive up to six additional travel days as part of individual support to cover accommodation costs for travel time before and after mobility in accordance with the guidelines for individual support. For further information see - Funding opportunities for sustainable travel.

Please note: The funding rates are determined by the DAAD National Agency and can only be viewed on this page. Please also note that different funding rates may apply in different project years. The application at the University of Bayreuth is determined by the available funding budget and funding project.

Top-Up for students with "fewer opportunities"Hide

The Erasmus 2021-2027 programme generation aims to provide additional support for students who have to overcome particular social barriers to study abroad.

These Students with fewer opportunities receive 250 EUR per month in addition to their Erasmus+ grant.

  • Students and graduates with a disability from GdB 20 or a chronic illness
  • Students and graduates who spend their stay abroad with children
  • First-generation university students from a non-academic home
  • Working students

Even if several criteria apply, the Top-Up can only be obtained for one. It is not possible to add up several social Top-Ups. The application for the additional grant is done online within the funding form.

According to the regulations of the ERASMUS programme, a subsequent application is not permitted.


Criteria for financial assistance (Top-Up)

Students with a disability or chronic disease

  • Students with a chronic illness or a disability with a degree of disability of 20, which results in additional financial needs that are not covered by health insurance, can receive a top-up amount of 250 euros per month.

As proof, we ask for a certificate from the treating medical specialist confirming the additional financial requirements.

  • Alternatively, students who face higher additional costs due to their disability or chronic illness can apply to the DAAD for a real cost application with the support of the University of Bayreuth. Please contact outgoing-global-promos@uni-bayreuth.de for this purpose. The application must be submitted to the NA DAAD by the University of Bayreuth at least two months before your departure. Unfortunately, applications submitted shortly before or after the start of your studies abroad cannot be considered.

Students traveling with their child(ren)

  • Students who are travelling abroad with their child/children to study can apply for this top-up. The prerequisite is that the child or children are taken along for the entire stay.
  • The additional funding can also be granted for couples. However, double sponsorship of a child is excluded.
  • If both parents are subsidised when taking at least two children with them, both parents can receive the subsidy for taking one child with them.

Please submit the birth certificates of the child/children as proof.

Students from a non-academic parental home

  • Neither parent or carer has a degree from a university or university of applied sciences.
  • A degree from a university of cooperative education that leads to a qualification comparable to a university degree is to be counted as an academic qualification. In cases of doubt, please refer to the HRK's Hochschulkompass (Higher Education Compass) internet portal and the website of the HRK.
  • In this context, a master craftsman's certificate is not to be equated with an academic degree.
  • Degree courses completed abroad by one of the parents that are not recognised as such in Germany (e.g. physiotherapy) are deemed to be academic qualifications in the context of the eligibility criteria for receiving additional funding, meaning that there is no entitlement to the top-up amount.

As proof, we ask for a signed declaration of honour from the parents.

Working Students

  • During the minimum period of exercise prior to application (6 months), monthly earnings must be above EUR 520 and below EUR 850 (net earnings of all activities per month added up).
  • The activity in the sending country is not continued during the stay abroad (this also includes mobile working, online working, paid vacation, etc.).
  • Termination is not a requirement, the employment contract can also be paused.
  • Excluded are activities performed in self-employment and dual/part-time studies with a fixed salary.

As proof, please submit your pay slips for the last few months or the relevant tax assessment notice.

Funding opportunities for sustainable travel (Green Travel)Hide

Participants in the Erasmus+ programme should be made aware of the issues of sustainability, climate change and environmental protection and, in particular, of the ecological footprint that participants generate through their mobility. By financially promoting the use of sustainable means of transport, the number of mobilities with more environmentally friendly means of transport is to be increased and the ecological footprint of the Erasmus+ programme reduced.

According to the Erasmus+ guidelines, the majority (>50%) of environmentally friendly journeys are made using sustainable means of transport such as bus, train, bicycle or car sharing.

Travelling by car without a passenger or by plane or ferry is not considered low-emission.

Participants who need more time to travel due to the use of sustainable means of transport can receive up to six additional travel days as part of individual support to cover accommodation costs for the travel time before and after the mobility in accordance with the guidelines for individual support.

We recommend the following additional support days:

You can apply for the top-up online when submitting the planned dates for the grant agreement. If you require more travel days than indicated here, you can submit an application in the online form.

Important:

  • Subsequent applications are not permitted under the ERASMUS programme regulations.
  • Proof of climate-friendly travel is subject to random checks. Original receipts for environmentally friendly travel to and from the programme must therefore be kept for five years and submitted to the International Office for verification upon request. If proof cannot be provided, the funding must be repaid.
Funding amountHide

The funding is calculated monthly on the basis of the above-mentioned funding rates and can be granted for a maximum of 360 days per study cycle (Bachelor/Master). For single-cycle degree programmes such as law and teaching, funding can be received for up to 720 days. A combination of study and internship (within Europe) is possible.

Notes:

  • When applying for funding documents, you are obliged to provide honest information about any Erasmus+ funding you have received to date. False information, whether knowingly or unknowingly, will lead to exclusion.
  • A prerequisite for Erasmus funding is the acquisition of 20 ECTS credits at the host university. The recognition of these for the study programme in Bayreuth is not mandatory.
  • Due to the current funding available, a maximum of 120 days per semester will be funded until further notice.

The funding will be disbursed in 2 instalments:

  • 1st instalment - approximately 70% of the planned total funding (after the start of the stay)
  • 2nd instalment - remaining amount of the final total funding (after the end of the stay)

The first instalment is based on the period of stay specified by the host university in the letter of acceptance.

The final calculation of the funding amount is based on the actual duration of the stay as confirmed by the foreign host university in the Certificate of Attendance.

Reclaiming the grant for study abroadHide

The International Office must provide the DAAD / the EU in Bonn with evidence of study periods abroad in the form of the complete funding documents. If the documents have not been submitted in full or requiremets are not met, the entire grant must be repaid.

The grant must also be repaid if a student has not successfully completed 20 ECTS during their abroad.

Funding documents

Thanks to the Erasmus without Paper (EWP) project, Erasmus+ funding is now largely processed online in the MoveOn portal.

The following documents are required for the first funding instalment:

Grant Agreement & Declaration of honour on top-UpsHide

The application for the Grant Agreement - which is the most important document for funding - is submitted online using the appropriate form.

In this form, we ask you to enter your intended dates of stay at the host university. You can find this information in the Letter of Acceptance/Letter of Admission from your host university.

Your planned funding amount will also be calculated on the basis of this data.

The Grant Agreement will be sent to you by email once it has been drawn up. Please read the document in full and sign the Grant Agreement and the Declaration of Honour. Scanned signatures are permitted on both documents.

Letter of AcceptanceHide

The Letter of Acceptance or Admission Letter is the official acceptance letter at the host university and can be a separate document or an e-mail confirmation.

Learning AgreementHide

Learning Agreements for Erasmus+ stays within Europe can only be created using the Learning Agreement form in MoveOn.

For Erasmus+ SMS International, the paper template - Learning Agreement for studies - must be used, as these universities are not connected to the EWP system. You will receive a pre-filled Learning Agreement via e-Mail.

Important:

  • You must complete courses totalling at least 20 ECTS points abroad in order to receive Erasmus funding.
  • In Bayreuth, the Learning Agreement is signed exclusively by your department.

The International Office of the University of Bayreuth is not authorised to sign the Learning Agreement!

Declaration on insurance cover SMSHide

You need adequate insurance cover for the entire duration of your stay abroad. This must include at least health insurance and (optionally) liability insurance and accident insurance.

You can find the template for the declaration of insurance cover here.

Important: You are not insured by the University of Bayreuth during your stay abroad.

The following documents are required for the second funding instalment:

Certificate of AttendanceHide

Please have the Certificate of Attendance signed at the International Office of your host university at the earliest 10 days before your departure. The data confirmed by the host university will be used for the final calculation of your total funding.

Transcript of RecordsHide

The Transcript of Records is a certificate of your achievements at the partner university.

You will usually receive the document from your host university within 2 months.

Proof of the accreditation of coursesHide

The International Office is not authorised to recognise academic achievements - please contact your department. Further information on recognition can be found under this link.

A current transcript of records from cmlife, for example, may suffice as proof of recognition if it shows that the courses have been recognised.

EU-SurveyHide

You will receive the invitation to the EU survey separately by e-mail directly after the end of your stay via an EU sender address (es.europa.eu).

Please check your spam folder if you have not received a survey.

Learning AgreementHide

Current Learning Agreement including ‘before the mobility’ and ‘during the mobility’. This is independent of whether changes have actually been made to the Learning Agreement.

Certificate of study progress from the UBT for the entire period of stayHide

Certificate of study progress (not certificate of enrolment) from the home university for the entire period of mobility.

Travel reportHide

The travel report will be published in our Publisher in the respective partner university.

Please solely use our template for the travel report.

Introductory weeks or language course at the foreign universityHide

Language courses or introductory events at the foreign university that take place before the actual start of the semester can generally also be funded. However, depending on the available funding budget, the maximum funding period cannot be exceeded.

A confirmation of participation must be submitted with the other documents as proof.
